The iGUIDE integration helps you save time by automatically creating draft orders in your iGUIDE account based on your client’s photography order. Once the assets are complete, they can be automatically imported into the property site, eliminating manual steps and simplifying your workflow.
In this help article, we’ll walk you through how to connect your iGUIDE account, set up the integration, and start using these features to deliver polished, interactive property sites more efficiently.
How to set up the iGUIDE integration

How to manage iGUIDE orders

iGUIDE Integration Setup
Step-by-step:
Step 1: Click the Business tab at the top of the page.
Step 2: Click the App Integration tab on the left-hand side of the page.
Step 3: Scroll down to the Product Processing section to see the iGUIDE integration.
Step 4: For the iGUIDE integration, click the "Authorize My Account" button. Note: You must have an existing iGUIDE account before authorizing the integration.
Step 5: You will be briefly taken to the iGUIDE platform to authorize your account. If you are not logged in already, you will be prompted to enter your iGUIDE login email address and password.
Step 6: After entering in your iGUIDE login information, you will be asked to allow HDPhotoHub to access your iGUIDE Account. If you would like to move forward with the integration set up, click the "Accept" button.
Step 7: After clicking "Accept", you will be redirected back to the App Integration page. Scroll back down to the iGUIDE integration. You will now see integration settings.
Step 8: First, you will want to connect your Team Member's HDPhotoHub accounts with their iGUIDE accounts. Click the "Verify Team Members" button.
Step 9: If the email address for your Team Member's iGUIDE account matches their HDPhotoHub account, we will automatically set the iGUIDE User. However, if there is not a match, you can manually set the iGUIDE User by clicking the drop-down and selecting the correct iGUIDE account for that Team Member. When you are done, click the "Close" button.
Step 10: Now you are ready to choose what iGUIDE assets you would like to be automatically imported once the iGUIDE processing is complete. For any asset that you would like to be imported, simply click the drop-down and switch to "Yes." Here is what can be imported:
- Branded URL – The Branded URL for the iGUIDE will be added to the Embedded Media section on the Site Media page and set to only display on the Branded property site.
- Unbranded URL – The Unbranded URL for the iGUIDE will be added to the Embedded Media section on the Site Media page and set to only display on the Unbranded property site.
- Floor Plan PDF – The Floor Plan PDF will be added to the Floorplans section of the Site Media page.
- Room Measurements – The Room Measurements will be added to the Room Dimensions field on the Site Data page.
- Billable Square Feet – The Billable Square Feet will be added/updated to the Billable Square Feet field on the Site Summary page for billing purposes. This will allow your team to easily see if any adjustments in pricing are needed.
Step 11: If you would like the iGUIDE to automatically lock when the property site is marked as Sold, you can click the "Lock iGUIDE When Sold" drop-down and switch to "Yes."
Step 12: With the assets, you have the option to import just the Imperial versions, just the Metric versions, or both. Click the Measurement Type drop-down to make your selection.
Step 13: Now you're ready to configure your products! With the iGUIDE integration, we will automatically create draft orders in your iGUIDE account for any client photography order that has a configured iGUIDE product on it. To configure your iGUIDE products, go to the Shopping Cart tab on the left-hand side of the page.
Step 14: Click on a product that should trigger an iGUIDE draft order.
Step 15: Click the "iGUIDE Products" tab on the left-hand side.
Step 16: Click the checkbox for the iGUIDE Product that you would like to be ordered with the iGUIDE draft when your client orders this product in their photography order.
Step 17: Click the "Save Updates" button. Now when your clients order that shopping cart product, the selected iGUIDE product will automatically be used for the iGUIDE draft order!
You are now ready to have iGUIDE draft orders created automatically when your Client places a media order that includes an iGUIDE product!
Managing an iGUIDE Order
When a media order has been placed that includes an iGUIDE product, we will create a draft order in your iGUIDE account. If your Team Member accounts have been linked to their iGUIDE Sub-Account, the iGUIDE draft order will automatically be assigned to the Team Member in iGUIDE. This is just one more way the iGUIDE integration can streamline your process!
When does an iGUIDE draft order get created?
There are stipulations for when that draft order gets created - check them out below!
Scheduled Shoot -
If the iGUIDE product has a scheduled shoot date, we will automatically create the iGUIDE draft order 12 hours before the scheduled shoot time. Until that time, the iGUIDE Order ID field will show a "Pending..." status.
Unscheduled Shoot -
If the iGUIDE product has no scheduled shoot date, we will not automatically create the draft order. Instead, on the Site Summary, there will be a "Place Order" button in the iGUIDE Orders section that will need to be clicked to push through the draft order.
Step-by-step:
Step 1: Once and order has been placed that includes and iGUIDE order, go to the Site Summary for that property. You will see and iGUIDE Orders section.
Step 2: In the iGUIDE Orders section, click "Place Order" if no draft order has been created yet. Note: the "Place Order" button will only show if the iGUIDE product is unscheduled.
Step 3: Once the draft order has been created, you will see the iGUIDE Order ID and the date/time the order was created in iGUIDE. Clicking on the iGUIDE Order ID will launch your iGUIDE account and take you directly to that draft order.
Step 4: If you have created a Banner in your iGUIDE account, you can set that Banner selection in the iGUIDE Orders section as well. Simply click the drop-down, choose the Banner, and then that Banner will be applied to all future orders for this Client.
Step 5: At this point, your Team Member will see this iGUIDE draft order assigned to them in your iGUIDE account. Note: your Team Member will only get this iGUIDE draft order assigned to them if they are the assigned Team Member for the product the client ordered AND their Team Member account has been matched to their iGUIDE Sub-Account in the iGUIDE Integration settings.
Step 6: Once your Team Member has sent the assets to iGUIDE and the iGUIDE processing has been completed, those assets will automatically be imported to the Site Media for that property. You can see the number of assets imported and the date of the last import on the Site Summary in the iGUIDE Orders section. Note: assets will be imported based on the selections made in the iGUIDE Integration settings.
Step 7: You are ready to deliver the iGUIDE assets to your Client - just go to the Site Delivery tab, make your Delivery selection, and send the Delivery Email!
