The Sales Tax Collection Report shows the sales tax collected from your orders. If you've configured tax rates in multiple states, the report displays each state separately. Likewise, if you've created multiple custom tax districts, each district will appear as its own line item.
This report makes it easy to see how much tax has been collected and how many orders contributed to each total.
Accessing the Report
You can access the Sales Tax Collection Report from either the Reports page or the Sales Tax page.
Reports Page
Step 1: Click the Business tab at the top of the page.
Step 2: Click the Reports tab on the left-hand side of the page.
Step 3: In the Business Reports section, click Sales Tax Collection.
Sales Tax Page
Step 1: Click the Business tab at the top of the page.
Step 2: Click the Sales Tax tab on the left-hand side of the page.
Step 3: Click Sales Tax Collection Report in the upper-right corner of the page.
Understanding the Sales Tax Report
The Sales Tax Collection Report displays all taxes collected for each configured Tax State and Tax District.
For each state or district, you'll see:
- The tax state or district name
- The number of orders that collected tax in that location
- The total amount of sales tax collected
This information can be used to help reconcile your sales tax collections and prepare for tax reporting.
Viewing Order Details by Tax State or District
Clicking on a specific Tax State or Tax District in the Sales Tax Collection Report displays a detailed list of the orders that collected tax for that location.
For each order, you'll see:
- Site ID
- Client Name
- Property Address
- Order ID
- Order Total
- Taxable Amount
This detailed view is especially useful when reviewing multiple orders within the same tax state or district, making it easier to verify and reconcile the taxes collected.
Note: Clicking the Client Name will take you to the Client Summary page.
Note: Clicking the Property Address will take you to the property's Site Summary page, where you can view the complete order details.
Committing Sales Tax
When you're ready to finalize your sales tax records, click the Commit Tax button in the Sales Tax Report section.
Once a tax state or district has been committed, any orders associated with the selected tax state or district can no longer be modified. This helps ensure that the reported tax amount remains unchanged after you've finalized your records.
Note: You do not have to commit every tax state or district at the same time. Before committing, you can use the checkboxes to exclude any tax states or tax districts that you are not ready to finalize.
Tax Report History
After you click Commit Tax in the Sales Tax Report section, the committed tax records are moved to the Tax Report History section.
For each committed entry, you'll see:
- The date the tax was committed
- The Tax State or Tax District
- The total number of orders included
- The total amount of tax collected
The Tax Report History provides a record of your previously committed sales tax, making it easy to review finalized tax periods for reporting and reconciliation.
Similar to the Sales Tax Report section, you can click on a specific Tax State/District to view additional details for the orders within that committed line. For the given Tax State/District that you select, it will show the dates on the committed tax and further order details that may be helpful to you.
When viewing additional details on a specific Tax State/District, you can easily export the data to an Excel spreadsheet. Simply click the 'Export to Excel' option in the upper-right hand corner. This will generate and download a CSV spreadsheet with the same data that is displayed in the online view.
