Step-by-step
Step 1: Once you have reached out to our Support team and had Group Level Service Areas enabled, you can begin configuring Service Areas for your Groups. Click the Groups tab at the top of the page.
Step 2: From your list of groups, choose the Group that you would like to add Service Areas for. Note: the Group must have a Group Address in order to create Group Service Areas. The Group Address can be added on the Group Details tab.
Step 3: Click the Service Areas tab on the left-hand side of the page.
Step 4: Similar to creating a Service Area for a Team Member, click the "Add a Service Area" button to create a Service Area for the Group.
Step 5: In the "Type of Service Area" drop-down, choose the type of Service Area you would like to create.
Step 6: Enter the Distance for the Service Area.
Step 7: Now that the Service Area is created, you can begin configuring it for your Group. In the Travel Fee column, enter a Travel Fee override amount. This ensures that any client within this Group who places an order in this area will only pay that amount for the Travel Fee, regardless of what is set in your Team Members’ Service Areas. Note: your Team Member’s payout will still be based on their own Travel Fee amount, not the override. For example, if a Team Member normally receives $50 for travel and you set a Group override of $20, the client will pay $20, but the Team Member will still be paid $50.
Step 8: If you want the Travel Fee override to apply only when the client selects the "Any Available" option (instead of choosing a specific Team Member), click the "Any Available Only" checkbox. This ensures the special Travel Fee applies only when the system assigns the Team Member.
Step 9: Because the Team Member’s pay is based on their Service Area settings and not the override, you may end up paying more than the client was charged. To help manage this, you can set an "Any Available Max Payout." For example, if you charge the client $20, you can set the max payout to $20 so that only Team Members within that payout range are considered.
Step 10: If you are setting up a Service Area for a Group where you do not currently have coverage, you can assign a "Fallback Team Member." This Team Member will be assigned orders when no other Team Member services that area. This is also helpful if a Team Member is temporarily unavailable (for example, on vacation).
Step 11: If the Service Area is far away or has limited coverage, you can choose to hide scheduling. This allows the order to be placed without selecting a time so you can coordinate scheduling manually. To do this, click the "Hide Calendar" checkbox.
Step 12: To create additional Service Areas for the Group, repeat Steps 4 through 11 as needed.
When a client in that Group places an order, they will now benefit from customized coverage areas and travel fee settings.
